We’re looking for a personal assistant and junior project manager — someone organised, proactive, and confident managing both internal tasks and client communications.
The role
You’ll be the right-hand partner to the agency founder and leadership team — keeping calendars, projects, and client communication flowing smoothly.
You’ll handle scheduling, internal organisation, and also liaise directly with clients to ensure deliverables, updates, and tasks are on track.
This is a fully remote, high-trust, and client-facing role.
Responsibilities
- Manage leadership calendars, schedule meetings, and organise internal/external appointments
- Coordinate travel arrangements and assist with team events (virtual or in-person if needed)
- Assist with inbox management, drafting client communications, and basic correspondence
- Track project deadlines, deliverables, and next steps across multiple accounts
- Liaise directly with clients on smaller projects, updates, and task coordination
- Prepare meeting notes, follow-up actions, and project updates
- Conduct research and support with light administrative tasks
- Maintain professionalism, confidentiality, and attention to detail at all times
Requirements
- Two-plus years experience as a Personal Assistant, Executive Assistant, Project Coordinator, or Junior Account Manager
- Strong project management and client communication skills
- Tech-savvy — comfortable using Google Workspace (Gmail, Calendar, Drive), Slack, Zoom, Notion, Asana/Trello (or similar)
- Excellent written and spoken English
- Highly organised, proactive, and able to prioritise across multiple projects
- Ability to work independently in a fast-paced, remote environment
Bonus points
- Experience supporting founders, agencies, or creative teams
- Interest in marketing, media, or culture sectors
- Experience with light social media or content coordination
